Non-Billable Time/ Expense Entry

This article will outline how to enable and apply the non-billable feature for time entries in 8am LawPay Pro.

Overview

You may have noticed the Non-billable checkbox when creating a time entry, expense, or invoice.

This Non-billable feature is useful for entries that you would like to track but not bill your client for. For example, the first document you prepared only took an hour, but you still want that reflected on the invoice so the client knows you did the work and are not charging them. Or, in flat fee case situations, you may want to track your time and expenses but not charge the client for them.

Enabling Non-Billable Settings

  1. Navigate to Settings from your 8am LawPay dashboard.

  2. Select Settings β†’ Client Billing.

  3. In the Invoice Customization section, enable the option to Include Non-Billable Time Entries and Expenses.

Once saved, all new invoices will automatically display these entries.

To mark a time/expense entry as non-billable, simply check the non-billable box in the invoice line item.

If an expense has already been added as non-billable to an invoice, you can change its status to billable. Open the invoice, locate the expense, and click the checkbox to mark it as billable. This updates its charge status directly.


To add a Non-Billable entry to an existing invoice, select the Edit Invoice button and check the non-billable box in the invoice line item.

To hide non-billable time entries or expenses on all invoices, you need to update the configuration settings. Navigate to Settings β†’ Client Billing, and disable display for non-billable entries under the Invoice Customization section. Save changes to ensure updates are applied.

The screenshot below shows how these entries will appear on an invoice sent to a client.

You can also mark a non-billable entry when creating the time entry or expense.

Additionally, ensure you have configured the settings to reflect your preferences for non-billable entries. Access All Settings > Client Billing & Invoice Settings, and specify whether to include or hide these when creating invoices or expense entries.
