Some of the permissions you set up in LawPay Classic will also be applied to LawPay Pro. For example, if you remove the permission to manage quick bills and invoices for one of your staff, that staff will be unable to create quick bills in LawPay Classic or invoices in LawPay Pro.

When permissions are updated in LawPay Classic, it takes approximately 20 minutes to see those changes reflected in Law Pay Pro, or if the staff member logs out and back in, they will see the changes right away. Review the Editing Access User Permissions help article to see how to edit permissions.

The table below shows how different Lawpay Classic Permissions affect what your staff can see and do in LawPay Pro. Some LawPay Classic features do not apply to LawPay Pro. These features have a “No” in the “Applies to LawPay Pro” column. The table also shows what your staff will experience in LawPay Pro, depending on the permission set in LawPay Classic.

Five permissions in LawPay Classic that apply to LawPay Pro

Administrator

When someone is an administrator, they have the ability to edit firm billing settings and see all firm financials on the dashboard. This includes being able to edit firm wide invoice settings or managing your LawPay Pro subscription. Below is a screenshot of what the dashboard would look like for a staff member who is not an admin but has all other permissions.

Please note that the invoice financials are controlled by the “Manage Quick Bills and Invoices” permissions.

Collect Payments

Collect payments allows staff to charge a card or eCheck that is either on file or that they got from a client. They can collect payments for invoices, trust requests and into the trust account. Below is a screenshot of what the dashboard would look like for a staff member who does NOT have the collect payments permission.

Void Transactions & Issue Refunds

Issue refunds permissions allow staff members to refund payments made on invoices or into the trust account. They can refund both online and offline payments, although offline is only for bookkeeping purposes.

Please note that there is no way to void a transaction in LawPay Pro. This must be done in LawPay Classic.

View Reports

The view reports permission allows staff to see the reporting tab in the left sidebar. The tab will be hidden if a staff member does not have this permission.

Manage Quick Bills and Invoices

The manage QuickBooks and invoice permission allows staff to create/edit/delete invoices and see invoice financial totals on the dashboard. If a staff member does not have this permission, they will not see the invoices sub tab under billing. It will be hidden. They will not see financial totals for invoices on the dashboard, and the “Aging Invoices” report will be hidden. See the screenshot below for what the dashboard would look like if a staff member did NOT have the manage quick bills and invoices permission.

  • The record payment option is removed from invoices on the invoice table & the invoice view page

  • Withdraw/deposit into trust buttons are removed from the contact details>billing tab

Schedule Recurring Charges

No

This permission does not apply to LawPay Pro since we do not have scheduled payments in LawPay Pro

Void Transactions and Issue Refunds

Note: LawPay Pro does not have a void option. The user must go to LawPay Classic to void

  • The refund option is hidden on the contact>billing details

  • The refund option is hidden on the invoice history table

View Reports

Yes

The entire reports tab is hidden

If you don’t have the report's permission, you also can not have admin permissions. The above section will also apply

Manage Quick Bills and Invoices

User cannot create, view or manage invoices

  • This option is removed from the dashboard, quick actions etc.

  • The invoicing tab under billing is hidden

  • The invoicing tab under contact details is hidden

  • The aging invoice report is hidden

  • The invoice chart on the dashboard only shows totals and no $

  • The invoice chart on the dashboard is not clickable

Tag Transactions

This permission does not apply to LawPay Pro since we do not have tags in LawPay Pro

Manage Cards In Vault

This permission does not apply to LawPay Pro since we do not have a card vault in LawPay Pro

Account Access

Users can access all accounts
