Collecting Payments from Clients

In this article you will learn how to manage client collections by processing in-office and offline payments, including the new streamlined flow to charge an operating account directly without an invoice.

Overview

You can quickly generate invoices, track time and expenses, securely accept client payments, and monitor invoice status—all in one platform. LawPay Pro now allows for even greater flexibility by letting firms charge payments directly to an operating account without the need to link it to a specific invoice, streamlining your workflow while ensuring compliance with Trust and Operating account rules.


In-Office & Direct Payments

You can now charge a payment directly to your operating account without needing to create or select an invoice. This simplifies the charge flow for in-office and scheduled payments, reducing steps while maintaining existing Trust and Operating account rules for compliance.

  1. Select the Transactions tab.

  2. Click the Charge button.

  3. Select a Payment Type.

  4. To charge an existing client, select the Charge an existing client tab.

  5. Select a Contact.

  6. Apply Payment: * To pay a specific bill, select the Invoice to apply the payment to.

    • To skip invoice selection, choose the option to Charge directly to Operating Account.

  7. Enter the payment details:

    • Credit Card: Enter the Card Number, Expiration, CVV, and Zip code.

    • eCheck: Enter the required bank account information.

  8. Click Make Payment, then Confirm Payment.

  9. A receipt is automatically emailed to the client. You can also print a copy from the Transaction Details page.


Offline Payments

If a client pays via a physical check or cash, you can record the transaction manually to ensure your records remain reconciled.

  1. Select Charge an existing client for the payment type.

  2. Select a Contact and the relevant Invoice.

  3. Select the Offline Payment tab.

  4. Choose the deposit account, payment method (e.g., Check, Cash), and date.

  5. Click Make Payment and Confirm.

NOTE: Offline payments are for record-keeping purposes only. The funds are not automatically deposited into your bank account.


Payment Pages

Payment Pages allow you to accept online payments via email, your website, or mobile devices. You can attach these pages to invoices or include them in your email signature to increase the speed of collection.
