Migrating Data From LawPay to MyCase

What can be imported into MyCase?

The importing tools allow the following to be imported:

  • Cases

  • Contacts

  • Companies

  • Un-billed Time Entries & Expenses

The Data Migration Process in Three Steps

  1. Export Data from LawPay

  2. Import Data into MyCase

Exporting Data from LawPay

  1. Navigate to Settings

  2. Click Import/Export

  3. Select the Full Data Backup tile and click the Request Backup tab.​

  4. Backups are exported as .zip files.

  5. You can Include archived items or Send an email when the backup is finished. Select either item, both or none.

  6. Select the Export Full Backup button to create the backup.

  7. Clicking the Export Full Backup button starts a background task (as seen in the screenshot below)

  8. Once the task has a green “Done!” status click “Check Status”

  9. Find the full backup by selecting the View History tab next to Export Options

  10. Click the cloud icon in the far right column to download the backup to your computer. It will be a .zip file

  11. Find the .zip file on your computer in Finder or File Explorer in the Downloads folder

  12. Double-click the file to unzip it

  13. This creates a new folder with all your exported data in .csv format

  14. Locate the time_entries, people, expenses, companies, and cases files, as these will be the ones you are able to import

13. Open up the cases.csv and change the “ID” column to “Link ID” and delete the existing “Link ID”.

Important: This step is required if you want your contacts to link to the cases automatically in MyCase

14. Save the cases.csv file

Migrating Data into MyCase

  1. Gather the CSV files you exported from LawPay

  2. Login to MyCase

  3. Integrate MyCase and LawPay. See this article for how to integrate.

  4. Navigate to Settings>All Settings>Import/Export

  5. Select the Cases subtab & Click the Import Cases button

  6. Upload the cases.csv from the LawPay full backup folder
    Important: Make sure you updated the column names in step 13 of the Exporting Data From LawPay section

  7. WAIT until the case import has finished before moving on to the next step

    Contacts

  8. Import your Contacts. These are your people and company .csv files

  9. Select the Contacts sub-tab​

  10. Click Import contacts

  11. Select CSV

  12. Upload the people file

Time Entries

Before importing Time entries & expenses, ensure you have added all users that track time or record expenses as users in MyCase.
Important: Only unbilled/uninvoiced time entries & expenses can be imported. ​

  1. Open the time_entries.csv from LawPay

  2. Delete all of the rows that have an invoice number. These cannot be imported

  3. Change the “Flat Rate” column name to “Rate Type

  4. In the new Rate type column, change TRUE to “Flat Fee” and FALSE to “Hourly

  5. If the Time column is empty put a 0

  6. Save the file

  7. Go to the Billing tab > Time Entries subtab

  8. Click the import time entries button​

  9. Upload your file and click Submit

Expenses

  1. Go to the Billing tab > Expenses subtab

  2. Click the Import Expenses button

  3. Upload the expenses.csv file and click Submit
